Billing & Payment Policy
An annual membership fee of $37 per family is due at the time of registration and is valid through August 31 of the current year. The membership fee is prorated in December, March and June, July and August. Membership fees are non refundable.
Tuition is based on a flat monthly fee. Class days can vary between 3-5 times per month. Gymfinity assumes that once your child is enrolled, they will attend through the last class in August, thus over the course of a year, it all averages out. However, you are not committed to attend the entire year. Your participation is at your discretion.
A class spot is held for your child while they are officially enrolled. To withdraw from the program, notification must be in writing. See Program Withdrawal for more information.
Gymfinity accepts cash, checks, Visa, Mastercard and Discover as payment. Any check returned to Gymfinity for insufficient funds will incur an additional $35 fee.
Gymfinity encourages every family to have valid credit card information on file. Unless you opt into the auto pay system, (see auto pay policy for more information) this card will not be charged unless tuition is unpaid by the 2nd of the month. You do have the option of not putting a credit card on file, however if tuition is paid late or if the credit card information on file is invalid after the 2nd of the month there will be a $25 late fee. Billing statements are issued the 21st of each month. Tuition is due by the 1st of the month. At the start of business on the 2nd, a $25 late fee will be added to accounts with invalid or no credit card information on file if tuition is not paid. A reminder email will be sent the 2nd of the month and your child will be removed from the class on the 8th of the month if your account is unpaid—i.e. your child is no longer enrolled for that class at that time the following month. Your account will still incur a portion of the tuition for the month of removal.
Billing statements are generated monthly and in effort to be “Green” will be sent via email along with the Gymfinity Newsletter, coupons and upcoming events. All email addresses and family information are strictly used for internal marketing purposes and never sold to outside agencies. If a family chooses to receive their bill via postal service, that family, will incur a $25 per year Postage Fee paid at the time of registration.
Automatic Payment Option
All Gymfinity families have the option to have their credit card automatically charged for monthly tuition due.
Families wishing to participate will need to complete an auto-payment authorization form found at the Gymfinity Office.
Tuition will be charged on the 21st of each month and each family will receive statement showing a zero balance via email.
Please notify us if your credit card number or expiration date changes or update the information in the parent portal at the Gymfinity website.
Program Withdrawal
A class spot is automatically held for your child while you are enrolled at Gymfinity.
To withdraw from the program, a withdrawal form must be completed by the 20th of the month and submitted to the office. Families that fail to complete a written request, will be liable for following months’ tuition. Withdrawal forms can be found at the Gymfinity Office.
We ask that parents, not students, notify the office and complete a withdrawal form and pay any balances remaining.
Trial Classes
Gymfinity does allow trial classes for all new students.
A registration form & waiver must be filled out prior to attending the class.
The class is held for 3 days from the date of the trial for you to decide whether or not you would like to enroll in the class.
Attendance & Make- Up Policy
Gymfinity encourages your child to attend every class, however, we understand that due to illness and unavoidable conflicts this is not always possible.
Therefore, Gymfinity will allow one scheduled make up per month.
Make up classes must be scheduled through the office and are subject to space availability. Students will be placed in a class at or below their skill level to ensure safe participation. If no class times are available, an open gym pass will be issued for the makeup.
Makeup classes must be completed within 2 weeks of the missed regular class. There is no second make up for missed make ups. Make ups not schedule within 2 weeks will only be eligible for an open gym pass.
There is no prorating for missed classes for enrolled students, however we do prorate for new students at the time of registration. If a make-up cannot be scheduled, an open gym pass will be issued.
Inclement weather closings coincide with Madison School District, if they close so will Gymfinity. There are no make ups for inclement weather closing.
If your child is contagious or potentially contagious, has a wound that may reopen or has been exposed to any situation (lice) that may cause concerns, please do not bring him/her to class.
